Advertising Department Business Dilemma's

Advertising Department Business Dilemma's

Introduction
The purpose of this paper is to identify the Business dilemmas in the Advertising Department and to understand the causes of those situations that are impacting the organization. A Business dilemma, is a situation an organization finds itself in. This could be because of the lack of leadership, failing IT systems or shortage of skills.
The known Business Dilemma in the Advertisement department is the continuous change in leadership, which has led to communication issues with the interns and management. ''Business dilemmas are situations or problems where a person has to make a difficult choice'' (Mann). Too much change in a short period of time within the Advertising department is having a negative effect on the team. This could demotivate the interns, which may impact their performance, resulting in low productivity. Leadership and Management have to understand the pressures employees face in order to perform and help the company succeed. (Mann).  Business dilemmas can be solved by the implementation of the organizational change theory. ''Organizational theory is a change within the organization setting which is a constant occurrence.'' (Corrigun)

Information Management, Planning, & Controls
Information management systems provide management with the tools to plan, change, develop, and manage the use of information with vision and creativity within an organization. The information management systems must support decision making and create value for individuals and the organization by creating positive outcomes for organizations and to benefit communities and society as a whole.
For management to obtain the information required to manage the business successfully and to ensure it is available to the right teams at the right time. While at the same time protecting the information from external competitors. The appropriate infrastructure must be deployed right through the organization and people must be aware of its use.
A good way to provide management with the right information at the right time is to make use of information management systems. It would allow management to plan, track activities and control workflows. Also, monitor the success or failures of processes and people. The information system must be capable of producing management reports, which can be used to check on the organization performance by using realistic measurements.
In the advertising department new management do not have an understanding of procedures and the IT systems/tools (Power Point). The continuous changes has had a negative effect to the client base due to the relationships that were already built-up with previous management, being lost. This is because knowledge goes with the previous management when they leave the advertising department. The information management system should provide the interns with the relevant details they need to create the ads for the clients, regardless who leaves the company.
The actions that should be taken is Management positions should be filled for a longer time. Better succession planning arrangements is required, to aid smoother transitions. Management and leadership teams must spend more time with interns in order to correct the miscommunication issues. By managing changes better, to maintain control of the operations and for positive outcomes to be the norm. In order for management to be effective, they have to learn how to be good communicators (Maxwell, 1947).
Management must implement better change control procedures to allow interns to adopt to the new organizational changes being put forward. Failure to do this will result in communication breakdown and could present a ‘them and us’ environment, which will impact intern’s morale and performance. These procedures must be able to measure the success of any changes that are made.

Organizational Processes & Procedures
The Advertising Department has a lack of information planning to share with the interns from clients. This is due to the department not communicating enough with the social media department, at times the leaders do not have any information to share with the interns besides just the name of the company. This is a major issue as the interns have to do their own research in order to get an understanding of what the   customer requirements are. This must be addressed urgently as it takes a lot of the interns’ time to find information on the client and cause a delay for the work that is needed to be produced.
The interns must have access to the same information management systems, which should include a Client Relationship Database, with all clients information that they need to carry out their tasks. The organization must implement the right processes and procedures to allow for the capturing and storing of clients relevant information safely and securely. This information must be accessible to the interns for them to be more productive, which would save time and create a better working atmosphere, boosting morale. Also, it would enhance the advertising department’s reputation from the clients’ standpoint, as knowing their business would demonstrate a sign of professionalism and care.
The organization processes and procedures must be monitored to make sure they are providing the interns and management with the correct information at the right time, when needed for them to do their work efficiently and effectively. Management must make sure they use the appropriate metrics measurement to measure success or failures and to adapt processes and procedures where necessary. This should be a continuous activity to drive up standards within the advertising department. It would also identify where training is needed and who requires it. Allowing for continual service improvement and enhance clients experience.
Management should also allow for clients to provide their feedback on the service they receive from the advertising department. To gauge their satisfaction and make the necessary improvements where required.

The interns have raised their concerns and ideas to the Director and Manager in order for changes to be implemented.  The leaders should be attentive listeners, which would earn the trust of the interns (Maxwell, 1947)

Principles and Frameworks for Making Ethical Decisions
The business dilemma is the constant management changes within a short period of time, which is causing a breakdown in communication and impacting the performance of the interns. This appears to be the root cause of the issue.
Also it appears that the interns are upset because of the negative feedback comments management have received via emails from the clients on the interns performance.
Management should not share any negative or positive feedback emails directly with the interns, which they receive from clients in regards to the interns work performance, as it is breaking any  trust the client has built-up with management. It is causing the intern to have resentment towards the client depending on the feedback that was given.  Business ethics is a wide range of moral and ethical principles that do arise in an organization (Kunz).
The advertising department must put in place the right structure for the client giving the feedback. The client should remain anonymous. Both negative and positive feedbacks must be shared with the intern, so the correct training can be provided. Feedback is good as it would help to drive up standards in the advertising department. Also, to provide growth to the intern and future potential opportunities within the organization in the form of progression.
If client feedback is not sought and taken onboard, the advertising department would not know how well it is performing and would not have a view of the clients experience, therefore future business growth may not materialize and the organization could lose its competitive edge and reputation.
The advertising department must work to a set of principles in the form of good business practices, developed by the organization senior management and have a clear structured framework to support those principles in the form of processes and procedures, so the right and fitting decisions are made. In the best interest of their clients. Senior management must make use of the information system to make sure they monitor what the interns and other areas of the business are doing to maintain the standards required for the success of the organization.
Organizational Structure, Management, and Leadership
The Advertising Department strives to provide their clients with the best resources, by the interns using the skills they have learned in the business department.  The interns gain a lot from the Advertising department, by learning how to create ads on PowerPoint for each client every week.  This could be capitalized by the leaders getting more information from the clients which would help the interns to be more effective in their ads.
The organization information management system should be reviewed to see where it is failing the advertising department. If one is not in place then management should look to provide such a system to enhance the communication within the organization. Thus allowing for those at the operational, tactical and strategic level to get the relevant information that they need to carry out their duties.
Management of the advertising department should review the team structure to see if they have the right individuals at the right level to execute the activities to achieve the organizations goals. They should start with the leadership and the style of the leader, to see if that individual has the qualities to manage the interns to maximize their full potential and deliver the quality advertisements needed by the clients. While at the same time provide mentoring for the interns’ growth within the organization.
Failure of management to provide the right systems, tools and organizational structure could result in loss of business and reputation damage.
The review of the organization structure and information system should be done urgently because without correct specification/information from clients, the interns will have a hard time coming up with ideas when creating ads for them.
The Advertising department could focus more on the Organizational structure'' which formalizes the arrangements of interactions between and the responsibility for the task, people, and resources in an organization'' (Pearce& Robinson, 2013, PG 321)

Impact of Economics, Law, and Government on Value Creation
With University Consulting Services going global, it would be a difficult transition due to different countries attitudes to work, as some countries do not believe in women working and getting an education. Women are faced with death threats and have acid thrown in their faces. With these different laws and different government backgrounds, University Consulting Services would find it very hard to establish in these countries. (Argintar)
University Consulting Services would have to change its approach when doing business on the global stage to achieve economic growth. They would have to adopt to those countries national and local laws, rules and regulations to gain economic growth and may also have to adapt some processes and procedures.
As University Consulting Services strive for value creation, it must work to increase the worth of the interns and provide them with job satisfaction and better leadership for them to fulfill their potential, which fits with local customs and practices while achieving greater returns for stakeholders, in particular their clients.
If University Consulting Services can increase value for their clients, by them gaining more business from their advertisements it would improve University Consulting Services long term business growth.
The information management system will have to be changed to accommodate any new global activities and structural changes to the organization to manage the new business.

Career Knowledge, Skills, Abilities and Behaviors
The Advertising Department strives to provide their clients with the best resources, by the interns using the skills they have learned in the business department.  The interns gain a lot of knowledge from the Advertising department, by learning how to create ads on PowerPoint for each client every week.  This could be capitalized by the leaders making better use of the information management system to capture specific information on the interns track their career path, skills, knowledge, experience and performance for future potential employment. This information should be made available to other departments in the organization. Also, management could make use of the information system to record and store details of client’s ads specification request easily and safely by getting more information from the clients, which would help the interns to produce more creative and effective ads.
It is imperative for management to implement the right processes and procedures, so clear and accurate information from the clients can be provided to the Advertising department. Without the additional information, the interns will have a hard time coming up with ideas when creating ads for clients.
Conclusion
It is clear to see by identifying the lack of leadership skills, the breakdown of communication in the advertising department, is a result of weakness of the information management system. The advertising department can start to focus on a solution to resolve these issues.  The organization can also start to find a way to have management stay in their positions longer in order to benefit the clients and to ensure the efficiency and effectiveness of the interns.
